Gzella Holding - Employee portal for 1400 people

Gzella Holding has been present on the Polish and European meat market for over 20 years. The company has developed its own distribution network, managed by the dedicated company Gzella Net. Currently, the company owns over 150 stores. Additionally, more than 60 franchise points of sale cooperate with the network. Over 1,300 people are currently employed in the meat processing plants and the store network. An additional area of the holding’s activity is the construction and operation of gas stations and wholesale fuel trading. The company managing the gas stations employs 100 staff members. The implementation of the Xpertis system in the HR area is a response to the company’s growing needs regarding the handling of processes related to recruitment and the servicing of employees requiring documents for the Social Insurance Institution (ZUS) and banks. Since the development of the retail sales network, these processes have become further complicated due to the logistics of delivering and collecting documentation. To circulate HR and payroll information, Gzella Holding used its own fleet, which supplied the distribution network. In this way, both areas of operation – transport and personnel management – became dependent on each other. Transport routes were planned to optimize the requirements of both business processes. This was the channel used to deliver, among other things, payslips and RMUA forms to employees. In several cases, operations required the employee to contact the headquarters to order the appropriate form. Meanwhile, the process of issuing and delivering the ordered document took the back-office staff 2 days. The implementation of the Xpertis Personel solution based on a portal solution (Xpertis CMS) had the greatest impact on reducing the time of information exchange between the employer and the mobile employee. Using the portal, it is possible to exchange HR and payroll information between the employee and their supervisors. Employees were grouped in the system according to the organizational structure. Currently, every manager manages the data of their team. This systematized the flow of documents from managers to foremen, and subsequently the flow of this information to the HR department. The process takes place electronically, and every person at the management level sends instructions to HR via a workflow process. Individual data of each employee, after approval, is presented in the portal. Also, after approval in the HR Department, each employee can view individual information in the Xpertis portal. In this way, processes related to vacations, salaries, and payroll accounting are managed. Furthermore, every employee can view data previously provided on the so-called payslip. Additionally, the solution enables the printing of the RMUA document. Access to personalized data, which every employee can view via a web browser, is secured by an individual login and password. Through the implementation of the Xpertis solution, Macrologic made HR processes more flexible and provided the opportunity for further expansion of the communication channel with employees, including the printing of employment and work history documents. The portal also enabled the creation of new information exchange channels, both business and administrative, based on the implemented IT solution. The entire organization experienced a reduction in waiting time for data or documents to a few dozen seconds, which are needed to print or review the information. Previously, this time oscillated around 1 day for Gzella sp. z o.o.; 1-2 days for Eko Tank; and 3 days for the Gzella Net network. Operating costs related to the handling of the HR and payroll process in the part concerning information distribution, i.e., transport, postal shipping, and parts of administrative processes related to this distribution, were also reduced.
