The ECOD project concerns electronic invoices that LOTOS sends to its distributors. So far, 30 distributors have been defined for connection. Each of them receives the ECOD web application for the ongoing receipt of electronic invoices and the ECOD Archive application for their archiving. Ultimately, all paper invoices will be replaced by electronic ones.
– We are pleased that our positive experience from our cooperation so far is translating into further projects that are important for LOTOS, and at the same time exceptionally prestigious for Comarch – says Tomasz Nakonieczny, Director of the Comarch Branch in Gdańsk.
Talks regarding the system implementation began in 2008. At the end of July 2008, Comarch was informed that the ECOD offer regarding the transmission and archiving of e-invoices was considered to best meet the company’s needs. The agreement was concluded for a period of 7 years and is the first agreement for the implementation of a mass EDI project in the fuel industry.
The application used by LOTOS and its distributors – ECOD Archive is a module of the ECOD platform used for storing documents in electronic version, as well as for searching, sorting, and grouping archived documents according to established criteria. In addition to e-invoices, ECOD Archive can store any types of documents indicated by the client (e.g., orders, shipping notices, delivery confirmations, etc.). Most importantly, it fully meets the legal requirements contained in the Regulation of the Minister of Finance of July 14, 2005, on the issuance and transmission of invoices in electronic form, as well as the storage and provision of these invoices to the tax authority or fiscal control authority (Journal of Laws No. 133, item 1119). Thanks to ECOD Archive, every client is guaranteed the storage of documents for the mandatory period of 6 years or for any longer time if the need arises.
