Polonia Logistyka – ERP ahead of dynamic service development

Polonia Logistyka Sp. z o.o. has completed the implementation of the Xpertis application suite in the area of freight forwarding management. The system streamlines the handling of transport orders through global planning and constant information exchange. Thanks to the implemented improvements, the company can realistically consider implementing a CRM system.

Polonia Logistyka specializes in express transport serving multiple loading points during a single route, LTL (less-than-truckload), and refrigerated transport. Until now, its domain has been the transport of food products. This is set to change in the coming months. The company intends to increase the size of its fleet and the volume of its own transport operations. Increasing the company’s transport capacity is intended to allow the carrier to enter the pharmaceutical industry services market.

To realistically consider increasing the number of freights while maintaining the same level of service, the company decided to implement new tools to support the work of freight forwarders and cost control. The company opted for the Xpertis application suite. Previously, a major barrier to the company’s operations was the difficult flow of information about transport orders, their profitability, the utilization of the transport fleet, as well as the exchange of this information between individual departments. The management decided to purchase a system that would, on one hand, collect all relevant information regarding transport and forwarding orders and, at the same time, allow access to consolidated data for all company branches. An additional requirement was to ensure work on real-time data, which determines proper management of forwarding and transport operations.

The company also decided to use the project of changing the way information is managed to increase control over work efficiency and eliminate errors that arise when transferring data. Control over driver work was tightened, and the associated costs were monitored. The company decided to build a database of customer information along with a history of contacts for the needs of the sales department.

As a result of the work carried out, all company branches were connected via an IT network. The management of Polonia Logistyka gained the ability to analyze the current condition of the entire enterprise thanks to cross-sectional analyses regarding, among other things, orders, service provision costs, or service sales. Planning effectiveness, which is the basis for strategic company development planning, has been increased. A mechanism for visualizing vehicle loads was introduced, allowing for quick planning of transport resource utilization, as well as a route planning mechanism, which facilitates cost optimization. Consequently, it was possible to significantly reduce empty vehicle runs, which significantly increased profitability.

Thanks to the implemented improvements, Polonia Logistyka can realistically think about implementing a CRM system, which will allow for identifying customer needs, optimizing service costs, and improving the customer service process. Polonia is also planning to build a new headquarters along with a high-bay warehouse. For the needs of the investment, it purchased a 5-hectare plot of land by the S1 road. By 2010, the company will increase its own fleet by 60 vehicles and will employ several transport companies under its own logo. It is currently in talks with two carriers interested in cooperation, who have 30 vehicles at their disposal.
